About ITB Asia, MICE Show Asia and Travel Tech Asia

ITB Asia | MICE Show Asia | Travel Tech Asia (referred to as ‘Event’) is organised by Messe Berlin Asia Pacific (referred to as ‘Organiser’) and will be held at Sands Expo and Convention Centre, Singapore (referred to as ‘Venue’). The Event is supported by the Singapore Exhibition & Convention Bureau.

As an attendee (referred to as ‘you/your’) of ITB Asia | MICE Show Asia | Travel Tech Asia, please read these terms and conditions and privacy policy carefully as you automatically agree to be bound, and comply to the details on this page.

ITB Asia, co-located with MICE Show Asia and Travel Tech Asia forms a three-day B2B trade show and conventionco-located and held annually in Singapore. They cover key verticals in the travel industry such as Leisure, MICE, Corporate, and Travel Technology. With three shows in one event, it has become Asia’s largest travel showcase designed to be the primary event for the Asia Pacific travel industry.

MICE Show Asia is an unmissable event for the meeting industry, where incentive travel, meetins and events industries come together. From industry suppliers, meetings & events professionals to up-and-coming MICE innovators, MICE Show Asia welcomes a wide range of disciplines, sectors and all levels of seniority.

Note: Registration and/or Pre-approval is required for this event. Attendees found not abiding by any of the regulations stated within this General Terms and Conditions will be refused access and/or have their accounts suspended depending on the severity of the offence. The Organiser reserves the rights to verify all attendees prior to admission, nullify and/or suspend accounts without being required to give reasons.

You will receive a confirmation in email up even on the Event day, depending on the date of your registration.

General Admission Rules and Regulations

ITB Asia | MICE Show Asia | Travel Tech Asia is a business event for professionals, trade and business visitors. As such:

  • The minimum age for entry is 18 years. Individuals below the age of 18 and infants in arms/strollers and members of the general public are strictly not allowed inside the exhibition halls at any times.
  • The dress code for the event is business attire (i.e. no flip-flops, sandals, shorts etc. unless part of an ethnic attire).
  • This is a ticketed event. Attendees are required to wear a valid pass/badge at all times.
  • Attendees are not allowed to swap badges.
  • Unless expressly permitted, no items may be sold directly. 
  • Registrants that are deemed in conflict with the nature of business, spam or fraudulent profiles will not be permitted entry and/or have their accounts suspended.

Other guidelines to take note of:

  • The All-Access Trade Visitor Pass grants the attendee to ITB Asia, MICE Show Asia and Travel Tech Asia
  • The Travel Tech Asia-only pass grants the attendee to Travel Tech Asia only.
  • All attendees must comply with the Organiser’s and the Venue’s Rules and Regulations.
  • Each badge/pass is issued for the registered individuals’ personal use only.  Unless approved by the Organiser, the attendee may not sell or otherwise transfer the badge/pass to others.
  • All registration for the Event is irreversible. All registration fees will not be refunded for any reasons.
  • No information material of a political nature may be brought into the venue in the form of posters, information material, apparels etc. If found to possess such items, the attendee will be escorted out of the venue and/or have their passes immediately revoked.
  • Exhibitors are to adhere to the Terms and Conditions as per contract, Rules and Regulations within the Technical Guidelines as well as the details within this Terms and Condition and Privacy Policy.
  • Unless permitted, no animals are admitted to the exhibition grounds.
  • In line with the SMMs applicable to MICE events, attendees are no longer required to be fully vaccinated.
  • Attendees are advised to maintain hygiene standards by covering one’s mouth and nose while coughing/sneezing with a tissue or handkerchief and disposing of used tissues properly in the dustbins provided in an orderly fashion.
  • Avoid visiting the exhibition venue if you have a high temperature or are not feeling well.

Attendees found not abiding by any of the Admission Rules and Regulations stated in this sections and/or within the General Terms and Conditions will be refused access and/or have their accounts suspended. In such cases, refunds will not be entertained.

In addition, if found to have deliberately misrepresented yourself and/or others (e.g. including but not limited to the provision of false or misleading verification documents and/or information), you may be subject to enforcement action.

The Organiser reserves the right to withdraw, refuse admission to, eject, and void any person and their pass, who fails to comply to any Rules and Regulations, Terms and Conditions and/or are deemed as a security risk, in conflict to, as spam, fraudulent and/or a nuisance to the Event after confirmation without liability.

Regulations Applying to Passes - All Passes

On top of the General Admission Rules and Regulations, all passes are issued in the holder’s name or must be filled in correctly by the holder, who should also sign them. Passes are strictly non-refundable, non-transferable and are only valid for the registered event. In cases of misuse, the passes will be withdrawn without compensation.

Regulations Applying to Passes - Travel Tech Asia Passes

The Travel Tech Asia Buyer and Trade Visitor Pass allows access to Travel Tech Asia Exhibition and Conferences only.

The attendee hereby agrees to comply with the General Admission Rules and Regulations.

The organiser’s decision in all matters are final. The Organiser reserves the right to cancel and/or reject your registration and is not obliged to state the reasons.

Regulations Applying to Passes - Buyer

Messe Berlin (Singapore) Pte Ltd reserves the rights to cancel the participation of a Buyer, including after the Buyer’s acceptance onto the programme; for example, should it become apparent that the buyer is unlikely to fulfil their obligation and commitments to the programme.

The Buyer hereby declare that all information submitted is accurate and complete and Messe Berlin (Singapore) Pte Ltd reserves the right to cancel the participation of a Buyer should there be a discrepancy in the information submitted or if you’re serving notice of leaving your role.

By accepting the terms and conditions, the Buyer agree to all relevant data protection legislation under Singapore law to Messe Berlin (Singapore) Pte Ltd and its partners commissioned as part of the Buyers Programme communicating with you by phone, fax and e-mail. Your personal information (except credit card details) can be used for internal processing and for disclosure to third parties such as exhibitors, hotels and transport providers in connection with your TravelRevive attendance. In addition, we may use your details to invite you to other events organised by Messe Berlin (Singapore) Pte Ltd or to offer you other relevant products and services supplied by Messe Berlin (Singapore) Pte Ltd or third parties.

The hotels, transportation companies and other service providers are independent contractors and are not agents or employees of Messe Berlin (Singapore) Pte Ltd or its affiliates. Therefore Messe Berlin (Singapore) Pte Ltd and its affiliates shall not be held liable for any act resulting thereof and beyond its direct control, including but not limited to overbooking, cancellation delay and force majeure. Furthermore, the participant shall indemnify Messe Berlin (Singapore) Pte Ltd and its affiliates of any damage or loss generated or caused by the participant which Messe Berlin (Singapore) Pte Ltd and its affiliates have to bear in relation to third parties.

These terms and conditions shall be governed by and constructed in accordance with Singapore law.

The Buyer hereby agrees to comply with the General Admission Rules and Regulations.

Photographs and Film, Video and Sound Recordings

The attendee/ registrant (referred to as the ‘you/your’) consent to filming and photography at the event. Messe Berlin (Singapore) is entitled to take photographs, make drawings, or to make films or video recordings or events taking place at the Event, including but not limited to the structures, exhibits and the fair that may feature your image (referred to as the ‘Content’).

You also agree that Messe Berlin (Singapore) Pte Ltd is the owner of all rights to such Content and waive any/all claims to its use. You acknowledge and agree to the use of these for advertising purposes or for distribution and/or publication in the media. No objections for whatever reason will be entertained. This also applies to photographs or recordings made directly by the press and/or television approved and/or authorised by the Organiser.

Indemnity from Unforeseen Situation

By participating at the Event, you agree to waive, release, absolve and forever discharge Messe Berlin (Singapore) Pte Ltd, its officers, agents and representatives from all and any responsibility, actions, claims, demands, obligations and/or liability arising from any loss or damage (including without limitation and to the extent permissible by law, physical injury, infection, loss of life or property damage) sustained by you or caused as a result of your participation in the Travel and Event, or the suspension or cancellation of the Event due to a public health emergency.

COVID-19 Advisory

As of February 13th, 2023, all international attendees can enter Singapore regardless of their COVID-19 vaccination status. No entry approvals, pre-departure tests, on-arrival tests, quarantine, or COVID-19 travel insurance are required. However, all attendees are encouraged to be fully vaccinated prior to arriving in Singapore.

Official Approval, Legal Regulations

In all cases, it is the responsibility of the attendees to obtain official approval from the relevant authorities. 

As an Exhibitor

Exhibitors are responsible for ensuring compliance with performing rights regulations, as well as with regulations pertaining to trading and industrial law, police regulations, health regulations and other legal requirements.

Exhibitors passes are valid for the duration of the exhibition or fair, for use by themselves only. In the case of joint participation by a few exhibitors, only the authorised exhibitor will receive the required passes.

As a Buyer

All Buyers are responsible for ensuring compliance with performing rights regulations, as well as with regulations pertaining to trading and industrial law, police regulations, health regulations and other legal requirements.

Buyer passes are valid for the duration of the exhibition or fair, for use by themselves only.

Protection of Copyrights and Patents

It is the responsibility of all attendees to ensure that copyrights and other laws governing industrial patents in Singapore are complied with.

Data Privacy Policy

Introduction

Messe Berlin (Singapore) Pte. Ltd. (“MBS”) is committed to respecting your privacy. This Privacy Policy (“Policy”) will outline the type of information that is collected, how it is used and the secure way in which it is protected. Please read this Policy carefully.

Our business partners would be pleased to support the appearance of your company at the trade fair. Data protection law requires that we obtain your consent to the disclosure of your contact information to our partners. You can withdraw this consent from us at any time with effect for the future. However, your participation will be revoked, upon disagreeing and/or denying the Event’s Data Privacy Policy.

By using any of MBS’ registered websites (“Sites”), you are agreeing to be bound by this Policy in respect of the information collected about you via the Sites. You acknowledge and agree (on your own behalf and duly authorised on behalf of any third party whose details you supply) that the processing (including disclosure) of information is necessary or desirable for the provision of relevant services and the operation of MBS’ performance of its rights and obligations owed to you or a third party.

The references to information “relating to you” or “about you” include references to information about your employees, representatives, agents, directors, officers, or relevant parties whose details you have provided, and those of your affiliates and subsidiaries and sub-contractors, and those of any third party whose details you supply to MBS.

We may update this Policy from time to time to take into account changing requirements, and we request that you refer back to this Policy frequently to review any revisions. If you have any queries about the Policy, please get in touch with us.

Useful Information

We collect information from you when you register on our Sites, book a stand, subscribe to our mailing list or fill out a form.

When registering on our Sites, as appropriate, you may be asked to enter your: name, job title, company, mailing address, contact numbers, email address or credit card information. Such information is only collected when voluntarily given. You may, however, visit our Sites anonymously.

Any of the information we collect from you may be used in one of the following ways:

  • To personalise your experience (Your information helps us to better respond to your individual needs.)
  • To improve our Sites (We continually strive to improve our offerings based on the information and feedback we receive from you.)
  • To improve customer service (Your information helps us to more effectively respond to your customer service requests and support needs.)

Security

We implement a variety of security measures to maintain the safety of your submitted information. All supplied credit card information is transmitted via Secure Socket Layer (SSL) technology and then encrypted into our Payment gateway providers database only to be accessible by those authorised with special access rights to such systems.

Your information will not be sold or given to any other company for any reason whatsoever, without your consent, other than the express purpose of delivering the product or service requested.

Cookies & Google Analytics

All MBS’ Sites use Google Analytics, a web analytics service provided by Google, Inc. (“Google”). Google Analytics uses “cookies”, which are text files placed on your computer to help the website analyse how users use the website. Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google’s behalf. Google will not associate your IP address with any other data held by Google.

The attendee expressly agrees that Messe Berlin (Singapore) Pte Ltd may store, process, or disseminate personal information – including electronically processed data such as my contact information, i.e. my name, my phone number, my photo, my e-mail address and my fax number, to third parties – for business purposes in accordance with Singapore data protection laws.

The attendee expressly agrees that Messe Berlin (Singapore) Pte Ltd may store, process or disseminate business information – including electronically processed data such as phone numbers, my e-mail addresses and fax numbers, to third parties – as long as necessary to achieve the objectives of Messe Berlin (Singapore) Pte Ltd or its affiliates, or to fulfil any other justifiable needs such as the identity verification purposes.

The attendee expressly agrees that Messe Berlin (Singapore) Pte. Ltd. may transfer my contact information, i.e. my name, my phone number, my e-mail address and my fax number, to third parties for the purpose of optimizing and supporting the participation of my company at the trade fair and so that they can offer me their own specialized services for preparing and implementing my presentation at the fair, such as logistics services, Airport Services, PR services, the Event catalogue/Quickfinder, Event App and Match Making Tool. The presently known recipients are PICO Art International Pte Ltd, Marina Bay Sands, Schenker Singapore Pte Ltd., Cleverdis Sarl, Focusinc International Corporation, GlobalSign.In Pte Ltd, A&D Printhub Pte Ltd, EasyPrint Technologies Pte. Ltd., Jublia Pte. Ltd, Awesomeet Pte. Ltd ad Burnaby Solutions Pte Ltd.

More service providers may be added as and when the service offering changes or is expanded. I can withdraw this consent to the use of my personal data and e-mail address obtained as part of the exhibitor stand registration at any time with effect for the future. To do so, I simply need to send an e-mail to data-protection@itb-asia.com.

Pass Policy

The attendee understands that by registering for the event and/or participating in Business Matching, they will be providing that exhibitor or sponsor their personal data (as disclosed upon registration and/or as uploaded e-Business Cards). The attendee thus consents to this personal data being transferred and accepts that this exhibitor or sponsor may contact them about their products or services. They also understand and agree that their personal data may be held and used by the organiser of this event, and any third-party hosting provider acting on its behalf, in order to stage the event and to analyse visitor traffic with a view to improving the event experience for participants.

The house regulations of the venue will apply together with the Organiser’s general terms of business. Attendees found not abiding by any of the above regulations, will be requested to return their badges and have them suspended. Please see other policies in regard to badges under Admission Rules and Regulations.

As a Buyer

All Buyers are responsible for ensuring compliance with performing rights regulations, as well as with regulations pertaining to trading and industrial law, police regulations, health regulations and other legal requirements.

Buyer passes are valid for the duration of the exhibition or fair, for use by themselves only.

All personal data (as defined in the Singapore Personal Data Protection Act 2012) shall be collected, used, stored, and
processed in accordance with Clause 22 of the General Terms of Business and the Singapore Personal Data Act 2012.

Force Majeure

Rescheduling of the Event

If Messe Berlin (Singapore)Pte Ltd is in a position to hold the event at a later date, it must notify all attendees immediately. Attendees are entitled to cancel their participation in the event if it is rescheduled, provided such cancellation is given within one week following receipt of this notification after which, claims for refund no longer apply.

For Events that have already commenced

If Messe Berlin (Singapore) is obliged to shorten or cancel an event that has already begun, as a result of force majeure, all attendees are not entitled to assert claims for repayment or for exemption from the charge.

Cancellation of the Event

If Messe Berlin (Singapore) Pte Ltd is prevented from holding the Event for reasons outside of its own control, or that of the attendee, all passes and claims to the registration fees including but not limited to the stand rental becomes void.

Messe Berlin (SIngapore) Pte Ltd may still invoice the Exhibitor for the work done/ carried out in the latter’s instructions to cover any expenses already incurred – as per Exhibitor’s stand contract.

 

All Buyers are responsible for ensuring compliance with performing rights regulations, as well as with regulations pertaining to trading and industrial law, police regulations, health regulations and other legal requirements.

All passes are valid for the duration of the exhibition or fair, for use by the registered attendee themselves only.

Redemptory Clause

Redemptory Clause

If any individual provisions in these conditions of participation become void, this shall not affect the validity of the other regulations. The void provision should be altered in such a way as to fulfil the intended purpose.

The Organiser reserves the right to amend and/update these terms & conditions without notifying the attendee. It is the responsibility of the attendee to ensure that he/she has read and agreed to the above Terms & Conditions and Privacy Policy prior to registering for the event.
